These are the rules for using TrueMile, written to be read rather than skimmed past. Using the site or app means you accept them.
What TrueMile is
TrueMile is a set of tools for hauliers: a cost-per-mile calculator, quote checker, job log, calendar, walkaround checks, timesheets, holidays and a live fleet map. It helps you see your numbers and run your yard — it doesn't run your business for you.
Every figure is an estimate
This is the big one. Costs, cost-per-mile, quote verdicts and profit figures are estimates built from the numbers you type in. If the inputs are off, the outputs will be too. Pricing decisions, and the results of them, are always yours— TrueMile isn't liable for money lost on a job, quote or business decision made using the app's figures.
Not a compliance service
Walkaround checks, defect reports and MOT reminders help you keep records — they don't make you compliant by themselves. Legal duties to DVSA, your O-licence and roadworthiness rules stay your responsibility.
Your account
- Keep your password to yourself, and turn on two-factor security in the app if you want extra protection.
- You're responsible for what happens under your login.
- Don't use TrueMile for anything unlawful, and don't try to break into other companies' data (it's fenced off, but trying is still a breach of these terms).
Companies, owners and drivers
- The person who creates a company account (the owner) controls it: its data, its team and its settings.
- Owners invite drivers. By inviting someone you confirm you're entitled to add their details, and it's your job as their employer to tell them how the app is used — especially that location is shared while they're clocked on shift (see the privacy policy).
- Drivers see their own company's work only, and never other companies' money figures.
Plans & billing
- Paid plans are billed monthly through Stripe. Cards never touch TrueMile.
- You can cancel anytime; your plan runs to the end of the paid month.
- Each plan has limits (trucks, users) shown on the pricing page. We'll always give notice before any price change.
- The free calculator stays free.
The service itself
We work hard to keep TrueMile fast and available, but no online service can promise 100% uptime. TrueMile is provided "as is"; we're not liable for losses caused by downtime, data connection problems, or things outside our control. Nothing in these terms removes rights the law says you always have.
Ending things
You can close your account whenever you like — your data goes with it (see the privacy policy). We can suspend or close accounts that break these terms or abuse the service, and we'd tell you why.
Your drivers' data — who is responsible for what
When you put your drivers on TrueMile, you stay in charge of their data. We hold it and do what you tell us with it. In data-protection language you are the "controller" and we are the "processor", because you are the one who decides to use the app, what to record and who in your firm can see it.
That split has three practical consequences for you:
- You must tell your drivers what is being recorded and why — particularly the on-shift location. The app shows them a notice, but that does not replace you telling them.
- You need a reason in lawfor tracking. For employers that is usually "legitimate interests" rather than consent, because consent given by someone to their own boss is rarely considered freely given.
- You will probably need a DPIA — a written assessment of the risks. Continuous location tracking of staff is treated as high-risk processing, so this is not optional paperwork. We have written most of it for you: our DPIA pack.
What we commit to, in return:
- We only use your data to run the service for you, or where the law requires it. We never sell it.
- Each company's data is walled off from every other company's.
- If a driver or an employer asks for a copy of their data, or asks for it to be corrected or deleted, we help you answer.
- If data of yours were ever exposed, we tell you without undue delay so you can meet your own reporting deadline.
- Close your account and your company's data is deleted, other than anything we must keep by law (billing records).
Who else touches your data
Running TrueMile means using a handful of specialist suppliers. These are our sub-processors, and we stay responsible to you for them:
- Supabase — the database and the logins.
- Cloudflare — serves the site and app, stores the encrypted backups, and forwards our email.
- Stripe — subscriptions. Card numbers go straight to Stripe; they never reach us.
- Resend — sends the emails (reminders, invites, receipts).
- Google Firebase — delivers push notifications to the driver app. It receives a device token, not your business data.
If we ever add or swap one of these we will update this list. Tell us at support@truemile.co.uk if you want to be emailed when that happens.
How long we keep things
- Driver location history — 90 days, then deleted automatically. The map trail is for settling a dispute about last week, not for building a year's picture of somebody's movements.
- Sign-in records — 90 days.
- Unaccepted invites — 14 days, then they expire.
- Backups — 30 days, plus one backup per month kept for a year. Deleted data disappears from backups as those age out.
- Everything else — for as long as your account is open.
The legal frame
These terms are governed by the law of the United Kingdom. If a court finds one clause invalid, the rest still stand.
